Privacy notice
What we do with personal information when you contact us or visit this website.
Last updated 20 September 2026
This notice explains what we do with personal information when you contact us or visit this website. We have tried to keep it short and plain. If anything is unclear, please ask us.
Who we are
Foundation for Gaia is a charity registered in England and Wales, number 327843. We are the data controller for the information described here, which means we decide why and how it is used.
You can reach us at info@foundationforgaia.org.
What we collect
When you use the contact form, we collect your name, your email address, the organisation you give if you choose to give one, the subject you select, and the message you write.
When you email us directly, we receive whatever you include in your message.
Our website host keeps standard server records when anyone visits the site, including the internet address the visit came from. These records are used to keep the site running and secure.
Why we use it, and on what basis
We use what you send us to answer your enquiry and to keep a record of the correspondence. Our lawful basis is our legitimate interests in running the charity and in replying to people who get in touch with us.
We will not add you to a mailing list unless you ask us to, and we will never sell your information or pass it to anyone for marketing.
Who else sees it
Two companies handle your information on our behalf, under contracts that limit them to acting on our instructions.
- Netlify hosts this website and receives contact form submissions before passing them to us.
- Zoho provides our email.
We may also share information where the law requires it.
Information leaving the UK
Netlify is based in the United States, so contact form submissions are processed outside the UK. That transfer is covered by the data protection terms in our agreement with Netlify, which include the safeguards required by UK law.
How long we keep it
We keep enquiry correspondence for two years from our last contact with you, after which it is deleted, including from the form records held by our website host. If your enquiry leads to an ongoing relationship with the Foundation, we keep the correspondence for as long as that relationship continues.
Cookies and tracking
This website does not use cookies, analytics or tracking of any kind. Nothing on the pages is loaded from another company's servers, so no one else is told that you visited.
Where we link to other websites, such as the sources cited in our news items, those sites have their own privacy practices, which we do not control.
Your rights
You have the right to ask us for a copy of the information we hold about you, to have it corrected if it is wrong, and to ask us to delete it. You can also ask us to restrict how we use it, object to our using it, or receive it in a portable form.
To exercise any of these rights, email us at info@foundationforgaia.org. We will respond within one month.
Complaints
If you are unhappy with how we have handled your information, please tell us first so that we can try to put it right. You also have the right to complain to the Information Commissioner's Office, the UK regulator, at ico.org.uk or on 0303 123 1113.
Changes to this notice
We will update this page if our practices change, and the date at the top will tell you when it was last revised.
